Prevent overselling by giving every purchasing channel a consistent availability decision and a reservation path that cannot allocate the same unit twice. An AI agent should consume those decisions, not estimate sellable stock from product descriptions or an old catalog feed. Fresh data helps, but concurrent requests still need a controlled commitment.
For a UAE merchant connecting ecommerce to ERP, the first task is to distinguish physical stock, sellable stock and stock already promised. PRO71 scopes inventory integration around those meanings, then tests competing orders, delayed events and recovery. The goal is an order the operation can fulfil, rather than a faster recommendation that creates a shortage.
Which system should decide what can be sold?
Choose authority by business decision, not by which API is easiest to reach. ERP or warehouse software may own physical stock; the commerce platform may own open carts and orders; a reservation service may coordinate availability across channels. Document how these facts combine into sellable availability.
Do not publish on-hand quantity as if every unit were available. Some units may be damaged, allocated, under inspection or held for another channel. Incoming goods may not be received. Shopify's inventory documentation makes related distinctions between available, on-hand, committed and unavailable states; map the actual system semantics rather than assuming all names are equivalent. Shopify inventory management.
An illustrative Dubai distributor has one sellable unit and one damaged unit. A feed showing two physical units can be technically accurate and commercially misleading. Establish which states are excluded, which locations can fulfil the address and who approves the availability formula.
What happens when two channels request the last unit?
The commitment must be coordinated. Two read requests can both see the last unit; a read alone does not reserve it. At the point where the merchant promises the item, an atomic reservation or equivalent controlled allocation should let only one eligible request succeed.

| Moment | Channel A | Channel B | Required result |
|---|---|---|---|
| Discovery | Sees one available unit | Sees one available unit | Information may change before purchase |
| Reservation | Requests the unit | Requests the same unit | Only one allocation succeeds |
| Confirmation | Proceeds with valid hold | Receives unavailable or revised option | No second promise against the unit |
| Expiry or cancellation | Releases unused hold | Can retry against new state | Release occurs once and remains traceable |
This is an implementation design, not a claim that every platform exposes the same reservation API. Confirm the supported mechanism in your stack. Avoid creating a second reservation ledger that cannot reconcile with ERP and ordinary store orders.

How should reservation expiry and payment be coordinated?
Give every hold an identity, expiry rule and release owner. Bind it to the correct variant, location and quantity. Define when it becomes a committed order and what happens if payment takes longer than the hold.
If authorization succeeds after a reservation expires, do not assume stock remains available. Revalidate the commercial state and follow the agreed recovery route. Depending on the payment and order design, that may mean a renewed reservation, a customer confirmation or cancellation of the payment attempt. The provider-supported path must be tested.
Avoid letting abandoned baskets hold stock indefinitely. At the same time, a hold should not expire so quickly that a normal authentication step repeatedly fails. Select the timing from observed checkout behavior and payment dependencies, then monitor expiry conflicts and unused holds.
Is real-time synchronization enough?
No. Synchronization reduces stale information, but does not by itself resolve simultaneous commitments or uncertain writes. Define freshness expectations by use: discovery may tolerate a bounded delay, while order confirmation needs an authoritative check or valid reservation.
Use event timestamps and source versions where available. If an old “in stock” update arrives after a sale, it must not overwrite a newer unavailable state. Design for duplicate and out-of-order delivery. Record which source update established the displayed availability.
When the authoritative system cannot be reached, stop making new promises or route the customer to a controlled alternative. The fallback should be a business decision with a visible owner. Silently continuing from stale stock transfers integration risk to warehouse staff and customers.

How do you reconcile mismatched inventory?
Compare source and destination states on a defined cadence and after incidents. Reconciliation should identify variant, location, quantity difference, related order references and the proposed correction. A scheduled comparison complements events; it should not erase valid reservations by repeatedly copying an unrelated total.
Investigate the cause before correcting quantities. Differences may come from a missed event, wrong unit conversion, duplicate order, return, location mapping or physical stock error. Each cause has a different owner and repair. Preserve evidence so the next occurrence is easier to diagnose.
For bundles, reserve the required components according to the actual fulfilment rule. For returns, distinguish received goods from goods approved for resale. Otherwise an agent can promise a bundle whose component is missing or sell a returned item still under inspection.
What tests and proposal evidence should buyers require?
Test competing requests for one unit, delayed ERP updates, duplicate events, out-of-order events, payment after expiry, cancellation and partial fulfilment. Include a system outage. For each test, show the resulting customer message and records across the connected systems.
Require an authority map, state definitions, reservation lifecycle and reconciliation runbook. Estimate effort from locations, channel count, product complexity, existing interfaces and exception volume. A connector installation is not proof that these operating rules are correct.
PRO71 can use a scoped systems review to align commerce, warehouse and finance owners before changing interfaces. Acceptance should include a recoverable order and an explainable quantity movement. Measure oversell incidents, stale checks, reservation leakage and time to resolve stock discrepancies, not only synchronization speed.

Buyer FAQs
Must ERP answer every product search?
Not necessarily. A cached discovery view can be useful if freshness is bounded and purchase commitment uses authoritative validation.
Is safety stock a substitute for reservations?
It can reduce exposure, but it does not coordinate concurrent commitments. Treat it as a separate business buffer with an owner.
Can we sell across several warehouses?
Yes, if eligibility, location availability and allocation rules are explicit. A combined quantity must not imply that every location can fulfil every address.
Should the agent offer a substitute automatically?
Only within customer-approved boundaries and validated price and availability. A stock shortage is not permission to change the purchase silently.
What should you inspect first?
Trace one last-unit order with the warehouse and platform owners. Use systems integration to define authority, reservations and reconciliation before adding a purchasing agent.
